What you'll actually use vs. what you'll throw away

Most first-time exhibitors over-order the wrong things. Here's the split we see after every show:

  • USE: retractable banner, table throw, business cards, a single tri-fold brochure, QR sticker on the table.
  • OVERUSE: oversized 8×10 backdrops (you can rent these at most venues cheaper than shipping).
  • WASTE: printed swag (pens, notepads, stickers) — 80% ends up in the trash before the attendee gets home.

The 30-day timeline

  • Day 30 — Finalize booth design and printable assets.
  • Day 21 — Order retractable banner, table throw, business cards, brochures.
  • Day 14 — Assets in hand. Physically check every piece.
  • Day 10 — Ship advance-freight to the venue warehouse.
  • Day 3 — Confirm receipt at venue via the freight portal.
  • Day 0 — Walk into the hall with just your laptop and personal items.

Advance freight vs. show freight

Every major US convention venue accepts 'advance freight' — you ship your booth materials to a warehouse 30 days before the show, and it's rolled into the hall on your setup day. Advance freight is 30-40% cheaper than 'show freight' (direct-to-hall) because the venue can schedule the truck traffic instead of receiving everything on move-in day.

The three items nobody tells you to order

  • A stack of 100 blank name-tag stickers — for the attendees who forget theirs.
  • A single laminated cheat sheet with your top 3 talking points, taped inside the retractable banner base (no one sees it, you glance at it).
  • A backup business card stack in a plain envelope, mailed separately to your hotel — insurance in case the venue loses your primary shipment.

Post-show reorder plan

Book Monday-morning meetings BEFORE the show. Every lead you collect wants a follow-up card / brochure / packet mailed within 5 business days of the show close — and that means placing the reprint order Sunday night, so you're not scrambling on Tuesday. Kolt Printing turns follow-up packets in 3 business days from art-approval.
